Complete Meeting Room Equipment Checklist by Room Size & Capacity
List the required room roles before choosing brands.
Illustrative layout. Final equipment selection requires an exact room and product review.
Start with the meeting
Who uses the room, how many people join in person, and what do remote participants need to see? Capture the meeting types before choosing devices.
Measure the real space
Record room length, width, table position, display wall, farthest seat and available power or network points. Mark unknown dimensions for follow-up.
List the whole system
Consider video, audio, displays, control, compute, sharing, cabling, mounting and licences as separate roles. A video bar alone does not define every requirement.
Bring existing equipment into the brief
Record the exact model and connections for anything you want to retain. Keep suitability checks open until the proposed system is reviewed.
Turn the questions into a room brief.
You can keep uncertain details open and save your progress.
